How to write a videography quote

A good video quote answers the client's questions before they ask them, and protects you when the brief changes on the day.

What to include

  • The brief in one line: what the video is for and where it will be used.
  • Pre-production: planning, call sheets, location scouting, scripting or storyboards if you do them.
  • Shoot days: full or half days, with the hours that count as a day.
  • Crew and equipment: second shooter, sound, lighting, drone, gimbal, hire costs.
  • Editing: by the finished video, not by the hour, where you can.
  • Deliverables: number of videos, lengths and formats (16:9, 9:16, 1:1), photos, raw footage or not.
  • Revision rounds: how many are included per video, and the price of an extra round.
  • Usage: where and how long the client may use the work, if that matters in your market.
  • Travel and expenses.
  • Payment schedule: a deposit to hold the date, the rest on delivery.
  • Valid until: usually 2 to 4 weeks.

An example layout

As an example of the structure, not of prices:

ItemQty
Pre-production and planning1
Full shoot day (10 hours)1
Second shooter, full day1
Brand film edit, 60 to 90 seconds, 16:91
Social cut-downs, 15 to 30 seconds, 9:163
Edited stills20
Extra revision round (if needed)per round

Then the payment schedule: 50% to book the date, 50% on delivery. You can build exactly this in the free quote generator.

Protect yourself on the day

  • Overtime: state the hourly rate beyond the agreed day.
  • Cancellations and weather: say what happens if the shoot moves or is cancelled close to the date.
  • Extra formats: a new aspect ratio or extra cut-down is new work, not a revision.
  • Raw footage: say whether it's included and, if not, its price.

Send it as a link the client can accept

Clients often read quotes on their phone between meetings. In Kanvo, you build the quote from your own rate card, add the deposit and payment stages, and send a link. The client accepts by typing their name, you see when they opened it, and the project and invoices are set up for you.

Questions

What should a videography quote include?

Pre-production, shoot days, crew and equipment, editing, the list of deliverables and formats, revision rounds, usage, travel, the payment schedule and how long the quote is valid.

Should I charge for editing by the hour?

Where you can, price editing per finished video. It's easier for clients to compare and you aren't penalised for editing quickly.

How much deposit should a videographer take?

50% to hold the date and 50% on delivery is the most common schedule for shoots.
